When should the AI pass a call to a person?
I plan a human route for callers who ask for a person or need an answer outside the approved information. That can mean a transfer or taking details for a callback. Which one happens belongs in your configuration. I will not describe every request for help as an automatic live connection to you.
Check the receiving number with me before approving the transfer. Call through the business route and see whether your cell rings. Then make yourself unavailable and repeat it. I want to hear the fallback and inspect the request delivered for follow-up. Record the destination, expected behavior, and result in the call-flow notes. Until that whole check passes, the transfer remains something to validate before your business depends on it for customer calls.
When should a caller be connected to me?
Tell me which situations need you on the phone now. We agree on the transfer reasons, destination, and hours someone can answer there. A caller asking for a person needs a defined next step. I want that step written for both conditions: you can take the call, or you are unavailable.
If your work keeps you away from the phone, I will not have the assistant say you are standing by. Set availability you can maintain. We decide when to try your cell and when to collect a callback request instead. Those choices go into the instructions before a customer relies on them.
What if I do not pick up?
I test the transfer when you do not pick up, when the phone is busy, and when it is otherwise unavailable. Failed transfers are part of the service test. What does the caller hear afterward? Where does the request land? A ring on your screen does not answer either of those questions.
I want the fallback to retain useful details and describe the next action accurately. It cannot imply you accepted the call or promised an immediate response. Have whoever normally returns calls inspect the result. If that is you, open it on the phone or in the inbox you actually use while working.
Is transferring the same as forwarding my business line?
I map forwarding and transferring as separate steps. Forwarding gets an incoming business call to the AI coverage destination. A transfer comes later, when that conversation attempts to reach a person. Both need review. That matters especially when you manage the business number and also carry the cell phone intended to receive the handoff.
Before changing settings, show me the current business line, its voicemail behavior, and the number that should receive transfers. We need the entire route on paper, with tested rollback instructions. I will not treat a carrier forwarding option as proof that a later transfer works. Each part has to survive its own test.
How should I check the caller experience?
Ask a practice caller to explain a routine need and request you. Listen at your receiving phone. I want to check what context reaches you before you speak to the caller. You may still need follow-up questions. We verify that behavior instead of assuming a particular transfer style is part of the setup.
Repeat the exercise with your cell unavailable. Compare the resulting request with what the practice caller actually said. I check the callback details, reason for calling, and expectations the assistant created. Keep that result beside the approved flow. If your phone arrangement or staffing changes, it shows which path needs to be checked again.
